2. Information We Collect

We may collect and process the following personal data:

  • Contact details — name, email address, postal address, and phone number when you make a donation, sign up for updates, or contact us.
  • Donation information — amounts donated, payment method type (we do not store full card details), and Gift Aid declarations.
  • Website usage data — pages visited, time spent on site, and browser type, collected via cookies and analytics tools.
  • Communications — correspondence you send through email or our contact form, including a private submission reference.
  • Fundraising requests — your name, email, proposed public title and story, selected programme, target, event date and publication permission. An approved page may display the agreed organiser name and story; your email stays private.

3. How We Use Your Information

We use your personal data to:

  • Process donations and claim Gift Aid where applicable.
  • Send you updates about our work, appeals, and impact stories — only where you have opted in.
  • Respond to enquiries, review supporter fundraising requests and manage approved pages. Sending a request does not subscribe you to marketing.
  • Comply with legal and regulatory obligations.
  • Analyse and improve our website performance.

4. Legal Basis for Processing

We rely on the following legal bases under UK GDPR:

  • Consent — for marketing communications and non-essential cookies.
  • Legitimate interests — for fraud prevention, website security, and improving our services.
  • Contract — for processing donations and issuing receipts.
  • Legal obligation — for Gift Aid administration and financial record-keeping.

5. Data Sharing

We do not sell your personal data. We may share it with:

  • Payment processors (e.g. Stripe) — to securely process donations.
  • HMRC — to claim Gift Aid on eligible donations.
  • Analytics providers (Google Analytics 4) — only after you accept analytics cookies; used to understand aggregate site usage. Advertising features and Google signals are disabled.
  • Cloudflare — to host the website and securely store contact and fundraising requests and payment reporting records. Request data is accessible through authorised staff account tools, not a public lookup.
  • Email service providers — to send impact updates and receipts, where you have opted in.
  • Regulatory bodies — where required by law.

6. Data Retention

We retain personal data only as long as necessary for the purpose it was collected, or as required by law. Financial and Gift Aid records are retained according to the applicable accounting and tax requirements. Contact and fundraising requests are kept while the enquiry or approved fundraiser is being managed; staff review records that are no longer needed. Short-lived, hashed network identifiers are used to limit repeated form submissions. Public financial reporting is aggregated and does not list donor names or email addresses. You may request deletion of your data at any time, subject to any legal retention obligations.

Under UK GDPR, you have the right to:

  • Access your personal data.
  • Rectify inaccurate data.
  • Erase your data (right to be forgotten), subject to legal obligations.
  • Restrict or object to processing.
  • Data portability.
  • Withdraw consent at any time.

8. Cookies

We use strictly necessary cookies so the site can function — including cookies set by our payment processor (Stripe) for fraud prevention and security during donation transactions.

With your consent, we also use optional analytics cookies from Google Analytics 4 (GA4) to understand how visitors use the site (for example pages viewed and approximate traffic patterns). We load the GA4 tag only after you Accept in our cookie notice (or on Cookie Settings). Until then, Google Consent Mode v2 keeps analytics_storage denied, and advertising-related storage stays denied. We do not use advertising tags, Google signals, or ad personalisation.

You can Accept or Decline analytics cookies at any time via the cookie notice or our Cookie Settings page. Your choice is stored in your browser's local storage.
